ATS-Compliant CV: Format, Fonts and Layout for Germany

12 min read

Isometric page and parsing path illustration

An ATS-compliant CV is one that applicant tracking software can read without errors: a single-column, chronological layout, standard headings, a plain font, contact details in the main body and a text-based PDF. In Germany this fits the conventional tabular CV of no more than two A4 pages. This guide shows you how to build that document, which fonts and file type to choose, what to look for in a template, and which mistakes cost you most.

TL;DR

  • Use a clear, tabular, chronological CV of no more than two A4 pages, with one column and standard headings such as 'Berufserfahrung' and 'Kenntnisse'.
  • Choose Arial, Calibri or Helvetica and send a PDF, as the Bundesagentur für Arbeit recommends.
  • Keep your name and contact details in the main body, never only in the header or footer. Avoid nested tables, text boxes, icons, stars and bars for skills.
  • Take the important terms from the job advertisement and use them in your own words, truthfully, where they describe your experience.
  • Test the exported file before you send it: paste its text into a plain editor and check that the order is correct.

What 'ATS-compliant' means

Many companies use applicant tracking systems (ATS) to pre-sort applications. According to the Bundesagentur für Arbeit's Bewerbungskompass, these programs read the CV automatically, so it should contain the important terms from the job advertisement. Academic career services describe the same mechanism: UConn's Center for Career Readiness explains that the software parses the text, extracts key data points and matches them against job-specific keywords.

Two consequences follow:

  1. The software reads text, not design. If a field cannot be extracted as plain text in a sensible order, it may not reach the recruiter at all.
  2. There is no official 'ATS certificate'. No seal makes a CV compliant. What exists is a set of habits that reduce parsing errors, and German public guidance describes them well.

The terms 'ATS-compliant', 'ATS-friendly' and 'ATS-safe' mean the same thing in practice: a document that survives automatic reading and still looks professional to a person.

The German CV format that ATS software reads well

The good news for German applicants: the standard format is already close to what parsers prefer. The Bundesagentur für Arbeit recommends in its guide to the perfect CV a clear, simple, tabular and chronological CV of no more than two A4 pages, with a readable font and short, simple wording.

Four anchors for a readable German CV

Structure and order

A reliable sequence for most applicants:

  1. Persönliche Daten (personal details): name, address, telephone, email. Date of birth and nationality are optional; photographs are no longer expected in many sectors.
  2. Berufserfahrung (professional experience): reverse-chronological, with employer, job title, location and period for each position.
  3. Ausbildung / Studium (education).
  4. Kenntnisse (skills): software, languages, certificates.
  5. Optional: Weiterbildung, Ehrenamt, Interessen.

For career changers, a short profile paragraph beneath your contact details can state your target role in two lines. Keep the chronological order below it, because parsers and recruiters both expect dates in sequence.

Standard headings

The Bundesagentur advises clear, standardised headings such as 'Berufserfahrung' or 'Kenntnisse' in the Bewerbungskompass. US university career services give the same advice in English: Auburn University recommends headings such as Education, Experience and Skills. If you apply in English to an international employer in Germany, Austria or Switzerland, use those English equivalents. Creative headings ('My journey', 'What I bring') make it harder for software to assign content to the right field.

Margins, columns and length

Use one column. UC Santa Barbara Career Services suggests single-column layouts and consistent page margins between 0.5 and 1.0 inches to prevent parsing errors; in German terms, that is roughly 1.3 to 2.5 cm. Two columns with a sidebar for skills and contact details are the most common reason a CV is read in the wrong order.

Length is simple: one page if your career is short, two A4 pages at most. A third page does not add information that a parser or recruiter will use.

Fonts and file type

Which font to use

For a German ATS-friendly CV, the Bundesagentur recommends readable fonts such as Arial, Calibri or Helvetica in the Bewerbungskompass. Practical settings:

  • Body text: 10 to 11 pt. Headings: 12 to 14 pt, in bold of the same font family.
  • One font family for the whole document. Mixing three fonts adds nothing for software and looks unsettled to people.
  • No decorative or script fonts, and no custom fonts that are not embedded in the PDF.

If you wonder about 'best fonts for ATS' beyond these three: any common sans-serif system font behaves similarly. The choice matters less than keeping the text real text, not an image.

Which file type to send

The same guide advises sending the application as a PDF. Export it from Word, LibreOffice or your editor so that the text remains selectable. Check this yourself: open the file and try to mark a sentence with the cursor. If you can only mark the whole page, the CV is an image and software cannot read it. Scanned documents and screenshots belong in the attachments only where an employer asks for certificates.

Some portals ask explicitly for a Word file or have their own upload form. In that case, follow the portal's instruction. For a closer comparison of both formats and an export routine, see our article on exporting and testing your PDF or DOC CV.

What to look for in an ATS-friendly template

A template decides most of the above before you type a word. When you download or build one, judge it against this table.

FeatureChooseAvoid
LayoutSingle column, tabular rows for dates and contentSidebars, nested tables, text boxes
Headings'Berufserfahrung', 'Ausbildung', 'Kenntnisse'Invented or playful labels
Contact detailsIn the main body at the topIn the header or footer
SkillsWritten out as words, grouped by typeStars, bars, dots, percentage rings
GraphicsNone, or a photo only where customaryIcons, symbols, coloured backgrounds
FontArial, Calibri, HelveticaDecorative fonts
ExportText-based PDFImage-based PDF, screenshots

The Bundesagentur's Bewerbungskompass gives the core of this list: a clear, simple layout with clear headings, no nested tables or playful graphics, and no personal data in the header. It also advises checking whether graphics, symbols or coloured backgrounds disrupt ATS scanners.

The agency's own 2026 application templates are built to be readable by ATS, and its guide to editing them tells users not to insert manual text boxes, tables or complex formatting that could disrupt scanners. That is a useful rule for any template you edit: change the text, not the structure.

A note on builders and downloads

Whether you use an online CV builder or a Word template, the same test applies. A template labelled 'ATS' by its seller is only a claim. Judge it by the table above, then run your exported file through the test in the last section.

Seven mistakes that break parsing

The Bundesagentur lists the main sources of error in the Bewerbungskompass: nested tables, graphics, symbols or coloured backgrounds, contact details in headers, and skills shown with stars or bars. Expanded into a checklist:

  1. Contact details in the header. The agency notes that scanners often ignore headers and footers, so put your name, address, telephone and email directly in the body of the document.
  2. Nested tables. A table for dates and content can work. A table inside a table rarely does.
  3. Skill bars and stars. Software cannot read 'four out of five stars'. Write 'Excel (advanced)' or name what you did with it.
  4. Icons instead of labels. A small telephone symbol next to a number is decoration for people and noise for parsers. Write 'Telefon' or 'Tel.'.
  5. Abbreviations for employers. Auburn University advises listing organisations by their full names rather than abbreviations or informal names.
  6. Image-based files. See the PDF check above.
  7. Terminology that differs from the advertisement. The US Department of Labor's Resume Essentials guide notes that ATS software may reject a resume for missing keywords, for formatting such as tables, or for using different terminology than the job posting. This is US guidance, but the mechanism is the same everywhere. German employers vary in which system they use, so treat it as a reason for care, not as a guaranteed rule.

Keywords: tailor without stuffing

The instruction from the Bundesagentur is short: analyse the job advertisement and include its important terms in your CV. Here is how to do that in a way that stays honest and readable.

A five-step routine

  1. Mark the requirements. Read the advertisement and highlight tasks, tools, qualifications and the exact job title.
  2. Sort them. Separate must-haves ('abgeschlossene Ausbildung', 'SAP-Kenntnisse') from nice-to-haves.
  3. Compare with your experience. Note where you already did the work but described it differently. 'Kundenbetreuung' and 'Customer Success' may be the same job in practice.
  4. Use their wording where it is true. Put the term in the experience bullet where you used it, not in a block of invisible or repeated words.
  5. Leave out what you cannot support. An interviewer will ask about every term on the page.

Why stuffing fails

Repeating a term ten times does not help a person who reads the document, and it can look manipulative. The US Department of Labor guide also notes that some ATS programs use AI and advises writing your resume in your own words. Specific, dated achievements in your own phrasing, with the relevant terms in them, serve both readers. If you want to go deeper into the wording of tailored documents, our article on ATS resume optimisation covers it step by step.

Cover letters and the form of address

The CV is one part of the application. In the cover letter (Anschreiben), the formal 'Sie' is the convention when you address the employer, and the same plain-text discipline applies: no text boxes, no decorative layout, the company name and job title written as in the advertisement.

Test your CV before you send it

A test costs a few minutes and catches most problems.

  1. Export the final version as PDF.
  2. Open it, select all text, copy it and paste it into a plain text editor.
  3. Read the result. Are your contact details at the top? Do the jobs appear in the right order, with dates next to the correct employers? Are there strange characters or merged lines?
  4. If anything is out of order, simplify the layout at that point: remove the column, the text box or the icon, and export again.
  5. Repeat with a second reader if possible: ask someone to find your most recent job title in under ten seconds.

If you prefer an automated check, the free ATS CV checker from Appliqu reviews your file for these structural issues. For a faster routine built around testing first, see passing ATS screening in 30 to 90 minutes, and for the wider picture our ATS-friendly CV guide for 2026.

Our perspective: format is the entry ticket, fit is the decision

We see a pattern among applicants. Many spend an evening on the layout and five minutes on the match between their CV and the advertisement. A clean, single-column CV prevents avoidable errors, but it does not make you the right candidate for the role. The content that follows the advertisement's actual requirements is what a recruiter reads.

Our perspective: format is the entry ticket, fit is the decision: overview diagram

This is why Appliqu reads the full job posting rather than matching single keywords. It analyses the whole description semantically, so the tailored CV and cover letter reflect what the role asks for, not only which words appear in it. Every document stays editable in the collaborative CV editor, where you and the AI edit together, and nothing is sent without your approval unless you choose Autopilot.

Our advice: fix the structure once, using the checklist above, then spend your time on tailoring and on checking facts. A CV that you have read and approved yourself is easier to defend in an interview. Our article on whether recruiters can tell that AI helped with a CV explains why your own review matters.

FAQ

What is an ATS-safe CV?

It is a CV whose text can be extracted completely and in the correct order by applicant tracking software. In practice that means one column, standard headings, a common font, contact details in the body and a text-based PDF. It also still has to read well for a person.

Is PDF or Word better for an ATS?

For Germany, the Bundesagentur für Arbeit recommends sending the application as a PDF. Make sure the text in it is selectable. If a portal or employer asks for Word, follow that instruction, because the requirement then comes from their system.

Which font is best for an ATS?

Arial, Calibri and Helvetica are the fonts named by the Bundesagentur für Arbeit. Use one family, 10 to 11 pt for body text, and avoid decorative fonts. Consistency matters more than the exact choice among these three.

How long should my CV be?

The Bundesagentur für Arbeit recommends no more than two A4 pages for a tabular German CV. One page is enough if your experience is short. Trim older or irrelevant positions before you reduce the font size.

Can I download an ATS-compliant template?

Yes, and the Bundesagentur offers application templates for 2026 that are built to be readable by ATS. Whichever template you use, edit only the text and avoid adding text boxes or tables. Then test the exported file as described above.
